Fun Fact: When subscribers click a link in an email, tags can be added or removed from their contact information, and they can be added to or removed from lists. Additionally, you can include them in automation workflows (more on that below).

Importing and managing contacts is generally straightforward, but this is where a significant flaw in ActiveCampaign’s features becomes apparent. You can manually enter contact information, collect it via forms, copy and paste multiple contacts, or import a file of contacts, which is all expected.

Nevertheless, you can only import CSV files. While CSV is a common format, it’s not sufficient. Most online marketing services allow imports from various formats. It’s standard in the industry for services like this to also support importing XLSX (Microsoft Excel) files.

This limitation may seem minor, but for those managing large contact lists and sharing them within a team, the absence of XLSX support is a notable drawback.

Where ActiveCampaign truly shines is in its ability to import contacts from various third-party services. Options include a wide range of platforms such as 123ContactForm, Asana, Basecamp, Eventbrite, Freshbooks, Google Contacts, Google Spreadsheets, PayPal, Zapier, and Zoho CRM. Contacts from database programs like MySQL and PostgreSQL can also be imported.

So technically, you could upload an XLSX file to Google Drive, convert it to a Google Spreadsheet, and then proceed from there—but honestly, that feels like an unnecessary amount of extra work.

Creating, managing, and customizing contact lists is straightforward in ActiveCampaign. These lists help you organize your contacts into targeted groups and monitor their preferences for different types of emails. You can sort and display contacts by various criteria, such as names, emails, phone numbers, and associated business accounts.

Additionally, you can create custom fields to store any specific information about each contact.

Next, let’s discuss segmentation. Segmentation enables you to create dynamic lists that automatically update based on changing conditions. For instance, if you have location data for your contacts, you could compile a list of all contacts in Germany who have engaged with your emails over the past year. When a new subscriber from Germany joins and interacts with your content, that list will refresh automatically.

Segmentation is integrated with the advanced search feature. You can build an advanced search using your desired parameters and save it for future access.

You can search your contacts based on various criteria—names, tags, membership in specific lists, email engagement over the last week/month/year, or whether they clicked on a particular link. You have the flexibility to mix and match these parameters to find the contacts you wish to follow up with or monitor.

ActiveCampaign includes a useful list cleanup feature that ensures your contact lists consist only of engaged individuals. Since there is a limit on the number of contacts you can email each month, it’s not cost-effective to pay for people who aren’t interested in your messages.

With just a click, you can remove contacts who have unsubscribed, haven’t confirmed their subscriptions, or whose emails have bounced. Interestingly, you can also eliminate active email readers, although it’s unclear why you’d want to do that—there might be a specific scenario for it.

As a side note, you can set a date for removing contacts who haven’t opened your emails in a while. This allows you to tidy up your list while still giving people a chance to engage with your emails, even if they haven’t done so yet. (I can be guilty of overlooking emails myself sometimes!)

Now, let’s discuss suppression lists. These lists contain contacts you don’t want to email—such as those who have unsubscribed—to ensure you don’t accidentally reach out to them again.

You can manually add contacts to a suppression list, but some will be added automatically, including those who unsubscribe or mark your emails as spam.

For privacy and legal compliance reasons, ActiveCampaign won’t disclose who marked your emails as spam. It’s best to move on from those contacts and focus on making your remaining subscribers happy.

I tend to write late at night, as my wayward brain has decided that this is the best time for creative endeavors. As a result, I’ve had the opportunity to evaluate ActiveCampaign’s support team during both their peak and less-than-ideal moments.

I use “worst” in quotes for a reason. While not every response met my expectations, the staff was prompt and genuinely tried to assist. I have few complaints.

The main support channels include phone, live chat, and email. I had to dig into the knowledge base to find the live chat schedule, and I still haven’t pinpointed the exact hours for phone support (so I called and asked).
