While some advanced features like portfolios require an upgrade, all plans—including the free version—include:

Before diving deeper, it’s important to understand that Teamwork distinguishes between three types of accounts:

Standard users have full access to your Teamwork site and take up paid seats. These are best assigned to your full-time employees.

Client users take up free seats and have full project-level permissions (they can add tasks, set milestones, and comment on projects they’re part of). However, their access is limited. For example, they can only be added to five projects at a time and only to projects within their assigned company.

Collaborators are short-term contractors who can complete assigned tasks and milestones but cannot edit task details or create new tasks.

You can easily upgrade or downgrade users, which will automatically adjust their permissions and access accordingly.

Flexible and Customizable Project and Task Management

Teamwork provides significant control over how you manage projects and tasks. Apart from producing tasks and subtasks, you can additionally:

Filter data: If you’re handling multiple projects, Teamwork’s filtering tool is invaluable. Whether you’re searching for a project with a specific tag or tracking team activity, the filters help you find exactly what you need. You can even save filters to avoid repeating the process later.

For those who need more detailed project descriptions, you can add custom fields, but this feature is only available on Teamwork’s Grow or Scale plan.

Teamwork offers four different views for managing tasks: board view, Gantt chart, list view, and table view.

Personally, I’ve always favored kanban-style views, and Teamwork’s Boards definitely live up to expectations. The Board view allows you to easily visualize your workflow and track task progress. It’s also an efficient way to gauge whether your team has the capacity to take on additional tasks from the project backlog.

You can also personalize your boards. Instead of the default “To Do, Doing, Done,” you could set up custom stages like “In Design, Ready for Development, In Development, Ready for Testing, Shipped” (or any other categories that suit your project).

Integrated Time Tracking

Teamwork offers a built-in time tracker that you can access through the web, mobile app, or by downloading the desktop timer. This tool helps you track time spent on tasks, enabling more accurate project planning and budgeting.

Unfortunately, the desktop app is a bit clunky and requires you to add tasks individually to the timer, which can be frustrating when handling multiple tasks. However, the web-based tracker works smoothly. You can track time for both entire projects and individual tasks, and when logging time, you can mark it as billable or non-billable.

For billable time, you can generate a personalized invoice that can either be sent directly to clients or exported to QuickBooks or Xero.

Dashboards & Overview Tools

Teamwork’s dashboards provide a clear overview of your project’s progress. Each project comes with its own dashboard, displaying key details like the project owner, budget tracking, timeline, and task status (both active and completed).

You can customize your dashboard by filtering reports to track team members’ activities or personalizing it with your company or project logo.

On the home page, Teamwork also allows you to create and customize multiple dashboards. You can add panels that display essential metrics, like task list burndown rates. The number of widgets you can use depends on your subscription plan, so be sure to check out the pricing tiers to know what’s included at each level.

Another useful feature is the ‘Everything’ section in your workspace, which really does show everything—tasks, links, milestones, messages, comments, files, and time logs, both completed and ongoing. If you’re searching for something specific, ‘Everything’ is the place to look.

You can even bulk edit tasks across not only task lists but also entire projects. The filtering tool makes it easy to generate detailed reports.

Depending on how many workers, clients, and projects you’re working on, setting up and configuring Teamwork.com may take some time. It may take many hours to tailor everything to your preferences for a book of ten clients. If you account for extra time for constructing automations, this figure may increase.

To give your Teamwork.com site a more branded appearance, you may also alter the name, URL, logos, and color scheme.

You may upload team members and significant contacts in bulk using a comma-separated values (CSV) file on Teamwork.com. People who you select to upload in bulk will by default have the same rights as other users. Later on, you can demote them to customers or partners.

Setting up projects was simple for me at first. Nonetheless, certain laborious jobs need more time in certain perspectives than others. For instance, before I gave any team member a task, I made a board with projects on it. When I was ready, I discovered that assigning each assignment required clicking into it. It felt like this took forever, even if it wasn’t true. I switched to the list and table views and discovered that assigning was significantly quicker.

Although Teamwork.com is quite user-friendly, several functions are strangely concealed or placed in non-intuitive locations on the screen. For instance, it is more challenging to reach the Gantt tab on the top menu because it is by default concealed from view. Similar to this, I discovered that accessing the budgeting tool on the left menu requires extra clicks because it is a subset of invoices and is located under the “More…” option.

Having said that, I continue to believe that Teamwork.com is among the easiest to use project management platforms out there. The built-in time tracking is straightforward to use (albeit somewhat difficult to get accustomed to), the settings are easy to explore, and starting projects is not too complicated. If anything, the creators of Teamwork.com should focus on increasing the visibility of all menu items and adding shortcuts for assigning tasks on the board view.

Since I didn’t designate a particular area for automation, I’ll discuss them here. They work just as well as in some of my best task management programs. Just select the action (then that) from a drop-down menu after selecting the condition (if this) as the trigger. If you perform a lot of repetitive tasks in your daily operations, it saves a ton of time.

Teamwork’s Simplicity Makes It Easy to Use

Starting a Teamwork account is enjoyable, thanks to its user-friendly design. The platform features a clean, intuitive layout, making navigation straightforward.

Labels are clearly marked, and the tools are easy to access and operate. Essentially, there’s minimal learning curve, allowing you to dive right into your work.

How to Get Started with Teamwork

Setting up a Teamwork account is simple. Begin by activating your 30-day free trial. New users are automatically enrolled in the Grow plan, but you can switch to the Deliver plan anytime during the trial.

Next, you’ll fill in your personal and company details (such as industry and employee count).

At the same time, you’ll create your first project! This took me around 10 minutes.

Teamwork walked me through the process of naming the project, setting up the first three tasks, creating task lists, and choosing a task view (I opted for Board view).

Afterward, I invited my teammates (i.e., my other email addresses). The onboarding wrapped up with a quick tour of key sections like Milestones, People, Settings, and the Home tab.

User-Friendly Design With Time-Saving Shortcuts

Teamwork’s interface is customizable and intuitive, anticipating essential features and providing quick access to them. It also includes handy shortcuts, both on-screen and via keyboard, to further speed up your workflow.

One particularly useful feature is the Switch Project option located on the top bar, which allows you to jump between projects no matter where you are on the site.

I discovered this feature later in my review, but it’s a great time-saver.

Teamwork also boasts a modern and visually appealing user interface (UI), making it enjoyable to use. You may add your corporate logo, change the colors to reflect your brand, and even make your dashboard the favicon for your special Teamwork domain.

Kickstart Projects Quickly with Templates

Teamwork allows you to either build projects from scratch or use templates. It provides around 20 predesigned project templates to help you easily launch similar projects.

Although the selection is somewhat limited, the templates cover key needs for service providers, such as Design Requests, Client Onboarding, Product Launches, and Event Planning.

When I tested a few, it was clear that these templates were carefully crafted. They come with detailed task lists, tags, and dependency assignments to help you effectively launch a project.

Additionally, you can save your successful past projects as custom templates, enabling your team to start future projects quickly.

Task-list templates further streamline processes by preventing repetitive work. You can easily add saved task templates to any project or set a default one if your team follows a regular task pattern.

The platform simplifies communication by allowing teammates to share feedback and leave comments directly within the app, streamlining task management. It even includes a built-in chat feature.

Team Dashboard & Communication

Teamwork allows you to share dashboards with both colleagues and external partners. On the Deliver plan, you can share one dashboard, while the Grow plan offers up to three. However, users with a collaborator license won’t have access to view dashboards.

Adding colleagues as observers or followers on tasks enhances communication, and you can leave task-related comments to share ideas, which are less likely to be overlooked compared to traditional emails.

By using @your-teammate’s-name, you can direct comments to specific individuals. Teammates can also reply to comments via email, keeping conversations flowing smoothly.

The ‘Message’ feature within a project allows team members to lead discussions and share updates relevant to the project.

Finally, Teamwork’s built-in messaging tool, Teamwork Chat, functions similarly to Slack. It can be purchased separately or included for free with paid Teamwork plans.

In Teamwork Chat, you can create channels for specific projects or teams and have private 1-on-1 conversations. Additionally, you can generate tasks directly from the Chat app. While it offers a video call feature, it’s fairly basic, though future updates may enhance its capabilities.

File Sharing

You can keep important files easily accessible by uploading them directly to individual tasks or projects in Teamwork, or by linking a Google Drive folder. When collaborating on documents, you can upload updated versions and notify specific users of changes. Previously uploaded files will remain stored in your Teamwork account for future reference.

Unfortunately, Teamwork lacks markup functionality, which is a major drawback for teams that collaborate on visual assets like graphic designs.

On the plus side, content teams will appreciate Notebooks. They’re great for gathering feedback and contributions on written content and sharing information with the team. Notebooks also have version control, and project admins can lock them to retain exclusive editing rights.

For small edits, you can check the “This is just a little change” option to avoid creating a new Notebook version.

File storage is quite generous. The Deliver plan offers 100GB of storage, which is sufficient as long as you’re not uploading large multimedia files.

Mobile App

One downside is that Teamwork has two separate mobile apps—one for project management and the other for Teamwork Chat. Although Teamwork Chat is a standalone product, it would be more convenient to manage both chat and tasks in a single app.

While it lacks some functionality, the Teamwork mobile app lets you access certain project management tools that are only available on the web version. For instance, dashboards, portfolios, reports, and other companies aren’t available on the app.

However, you can still add and complete tasks, manage your private projects through the Personal Tasks section, and track and log time.

Two important aspects of Teamwork.com that make it appropriate for agency work are the ability to add client users and the ability to monitor paid and outstanding bills directly from the platform.

Teamwork.com might not be the best choice if your company does not require or would not benefit from customer involvement or signoff throughout a project.

Security

The industry standard AES-256 encryption is available for data at rest on Teamwork.com. It does an excellent job of being transparent about how passwords are kept safe, the safeguards in place for Teamwork.com personnel’ access to particular data, and the level of security at their actual facilities.

Teamwork.com guarantees an uptime of 99.99%. Every morning, a complete backup is performed on each database, and the backups are kept for a year.

With the Free Forever plan, you can add an infinite number of collaborators and up to 5 normal users who will have full access to your account.

However, if you want to add client users, you’ll need to upgrade to the Deliver plan or higher. Alternatively, you can add clients as collaborators if they only need limited access (like not creating tasks or viewing dashboards).

The main restriction of the free plan is that you can only manage two active projects at a time. If you have several projects to oversee, upgrading will be necessary. The file storage limit is 100MB, which is reasonable for a free plan, although some competitors offer more.
